Data Deletion Request

Table Tennis Ulster (the provincial governing body for table tennis in Ulster) holds limited personal data about people who interact with the organisation, primarily for membership administration, communications, and event participation. This page explains how to ask us to delete that data.

What we hold

  • Name and contact details for members, club contacts, and event participants.
  • Email addresses for our newsletter and event mailing lists.
  • Photos and videos from events, where participants have given consent.
  • Comments and messages sent to us via social media, email, or our website forms.

How to request deletion

Send an email from the address you want removed to ttuadmin@tabletennisireland.ie with the subject line “Data deletion request”.

Please include:

  1. Your full name and any previous name(s) you may have been known by.
  2. Any email addresses or phone numbers associated with your record.
  3. The specific data you would like removed (for example, “newsletter subscription”, “photos from the Schools’ Cup 2025”, “membership record”).
  4. If your request relates to a child under 18, please confirm your relationship and the child’s name.

What we will do

We will acknowledge your request within 7 days and complete the deletion within 30 days, in line with UK GDPR. We will keep a minimal record of the deletion itself (date and scope) only where required by law, such as for safeguarding or financial audit purposes.

If we cannot delete

If we are unable to delete some of your data (for example, where we are required to retain it for safeguarding, legal, or insurance purposes), we will tell you in writing and explain the legal basis.

Questions or complaints

If you have concerns about how we handle your data, contact us first at ttuadmin@tabletennisireland.ie so we can put it right. If we cannot resolve your concern, you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority: https://ico.org.uk/make-a-complaint/.

Table Tennis Ulster operates under Table Tennis Ireland. Some personal data is shared with Table Tennis Ireland for international-level registration and insurance. Table Tennis Ireland has its own data-protection policy at https://tabletennisireland.ie/privacy-policy-eu/.
